Purchasing Card

When using your Purchasing Card, please pay particular attention to:

  • P-Cards are NOT to be used to purchase meals.
  • EVERY P-Card receipt needs "PC" written on it to indicate a P-Card purchase.
  • EVERY P-Card receipt needs the last four digits of the card written on it to indicate who made the purchase.

These requirements are the responsibility of each of us who use a P-Card.

Helpful Hints/Recommendations:

  • The purchasing charge card is a convenient way to obtain the goods and services your department needs. It is easy to take for granted that the places your card is being used, offers the best bang for the buck. On larger quantity and dollar amount purchases, please consider entering your request into the purchasing system and let the purchasing division obtain competitive price quotes in order to assure that county dollars are well spent.
  • Many prices may look attractive, but don't be disallusioned. Describing something accurately makes a tremendous difference in pricing as well as getting the item you specificatlly want. Also, shipping cost, when added on to those items being purchased, may make the total price actually higher in value than another that can be obtained at a far lesser price. Again, the Scott County Purchasing Division will be glad to "let its fingers do the walking for you" to get you the quality you want and deserve at the most competitive price.
  • Tired of either having sales representatives visit you or never being able to get one when you need one? Refer these reps to purchasing who will be glad to meet with them at your request. By having a one-stop location for sales reps, it allows equal representation for interested vendors to do business with the county. Upon your department's submission of a purchase requisition through the on-line purchasing system, these vendors are contacted and asked to submit competitive price quotes on what you are looking for. Based on the results of their bids, your department could request that a purchase order be issued or that the successful bidder be referred to you so that you are able to utilize your purchasing charge card.

New Employees

If you are an employee that requires a credit card:

  • Please have your elected official or department head complete the Request for Purchasing Card Issuance Form Scott County General Policy #26 Purchasing Card Policy
  • Forward the completed form to Tammy Speidel for card ordering and scheduling into the next available training class.
  • Employees must take the purchasing card training class prior to receiving their purchasing card.

Individual employees are not eligible to request a purchasing card be issued, this must be done by the elected official or department head.  For questions regarding this positing, please contact Tammy Speidel via email or X3241.
