Under general supervision, the Civil Records Specialist performs a variety of clerical and office support duties to include entering data, processing documents, and maintaining a variety of files.

Essential duties and responsibilities may include, but are not limited to, the following:
Enters data related to general executions and distress warrants filed with the courts into appropriate computer system; calculates legal percentages noting time constraints; maintains accurate financial records.
Files and maintains appropriate documentation for accounts payable in the Sheriff's Office; reviews information, vouchers, and signatures and enters into approved line item in claims interdepartmental systems.
Monitors accounting and bookkeeping functions of the Civil Division; makes daily bank deposits; prepares disbursements for garnishments; refunds civil service deposits including recording and issuing checks.
Facilitates Sheriff real estate sales and 260A and 260B cash drawer levies by scheduling dates and times of sales; issues notices and coordinates deputies to give notice to defendants; compiles statement of costs and prepares certificate of purchase or Sheriff's deeds; records monies collected from business cash register receipts. Files appropriate documentation with courts.
Collects towed vehicle inventory from impound company; logs information and assigns impound number; determines last known registered vehicle owner or lien company and provides appropriate notice to parties; prepares vehicle inventory list for sale and forwards to impound company to ensure completion of inspections prior to sale.
Records information on accounts receivable; entering accounts receivable information into computer and issues invoices; prints bills; processes payments on services via mail, EFT transfers, and in person.
Assists in responding to telephone and in-person inquiries regarding Sheriff's Office services or directs to appropriate agencies or departments as needed.
Serves as a notary public.
Demonstrates the ability to exemplify, by his/her actions, the County PRIDE philosophy.
Performs related duties as assigned.
Education, Training, and Experience Guidelines:
High school diploma or GED equivalent; AND two (2) years of clerical or customer service experience; OR an equivalent combination of education, training, and experience.
Knowledge of:
Applicable local, State, and Federal laws, codes, regulations, and ordinances.
Customer service principles, practices, and etiquette.
Records maintenance and retention policies, procedures, and practices.
General office policies, procedures, and equipment.
Skill in:
Typing and entering data with speed and accuracy.
Maintaining accurate records, documentation, and filing systems.
Working effectively through constant interruptions.
Completing multiple tasks simultaneously.
Establishing and maintaining cooperative working relationships.
Communicating effectively verbally and in writing.
License and Certification Requirements
Iowa State Notary Public is required within six (6) month of appointment.
Must possess NCIC certification or obtain certification within six (6) months of appointment.
