Job Summary

Under general supervision, the Intake Coordinator processes warrants and assists with the preparation and tracking of trial paperwork.

Job Responsibilities

Essential duties and responsibilities may include, but are not limited to, the following:

Enters criminal cases into tracking software and examines cases for correct documentation; reviews charging documents and Clerk of Court records for accuracy; contacts agencies and Clerk of Court for resolving errors in filings or making corrections; enters data into Law Enforcement records to get criminal history for defendants and transfers to Judicial Dialog.

Distributes cases to paralegals according to charge; notifies staff of time sensitive dates; receives daily police reports from law enforcement agencies and distribute to appropriate support staff or enters into computer system.

Processes warrant requests from all law enforcement agencies and Check Offender Offices; reviews warrants for accuracy and returns to agency for corrections as necessary; forwards warrants to appropriate parties for approval; updates Judicial dialog when warrants are served.

Prepares trials for simple misdemeanor cases; tracks reports for upcoming trials; compiles data from various police reports to determines victim, witnesses, and law enforcement officers needed for trial; sends notices to interested parties of trial date and time.

Assists victims and witnesses by answering basic trial related questions; receives continuance requests from police officers, victims, witnesses for conflict of trial date; establishes new date for Judge approval and notifies all parties.

Issues Governor's Warrant for defendant extradition when located out-of-state and inmate is refusing to waive; prepares paperwork for assigned attorney for signature; works with Governor's Office, correctional facilities, Clerk of Court, and Sheriff's Office to coordinate pick-up date within the allotted time.

Prepares Interstate Agreement Detainer paperwork when an offer of custody of inmate has issued; prepares paperwork for Judge approval; works with the Department of Corrections, correctional facilities, and Sheriff's Office to coordinate pick-up date.

Notifies law enforcement and area agencies of weekly assignment of on-call attorney and judge.

Demonstrates the ability to exemplify, by his/her actions, the County PRIDE philosophy.

Performs related duties as assigned.

Standards for Initial Consideration

Education, Training, and Experience Guidelines:
Associate's degree or two-year technical certificate as a Legal Assistant; AND three (3) years of experience in a legal office or court environment; OR an equivalent combination of education, training, and experience.

Knowledge of:
Applicable local, State, and Federal laws, codes, regulations, and ordinances.

Court systems and legal procedures.

Records maintenance and retention policies, procedures, and practices.

Warrant processing procedures.

Judicial system, judicial laws, and court proceedings.

Legal terminology.

Law enforcement software and databases.

Skill in:
Interacting tactfully and professionally with County staff, outside agencies, and the public.

Conducting research to compile data and statistics.

Typing and entering data with speed and accuracy.

Maintaining accurate records, filing systems, and documentation.

Establishing and maintaining cooperative working relationships.

Communicating effectively verbally and in writing.

Supplemental Information

License and Certification Requirements
Must possess NCIC certification or obtain certification within six (6) months of appointment.

Physical Demands and Working Environment:
Work is performed in a standard office environment.
